    Oral Defence and Laboratory Check-Out Procedures for Master Students

     

    In accordance with the agreement and the approval from the Pedagogic Committee of ICMS, Oral Defence for Master Students (CMS) in ICMS will be held in January and July every year. Details procedures will be announced by the Institute by email.

     

    1. Application via supervisior to ICMS Oral Defence Committee after thesis completion

     

    2. Conduct Pre-Oral Defence (CMS Students must complete Laboratory Check-Out procedures before Pre-Oral Defence)

    Check-out Procedure includes:

    -Return all laboratory resources to the Laboratory such as tools, reference books and manuals, any keys, chromatographic columns, etc. Allocated laboratory spaces must be tidied up and checked.

    -Submit all materials which needs supervisor's approval: Laboratory Logbooks, Crude Raw materials, Extracts, Chemical Standards, other laboratory resources and Hand-over records.

    -Check-out Application forms can be downloaded in this page or via administrative staff by email.

    -If students fail to complete Check-out procedures before Pre-Oral Defence, Institute Office will regret to refuse the application of your Oral Defence.

     

    3. Oral Defence

    Final version (which must be approved by your supervisor) of your thesis and all related documents or data should be submitted within ONE MONTH after the official Oral Defence is completed if any amendment of your thesis is considered necessary by your supervisor.

     

    4. Submit the following documents to the Institute Office (N22-1045, Ada)

    (Hard-copy):

    A. Final version of the graduation thesis approved by your supervisor. SIX hard copies should be prepared (THREE to the University Library, ONE to ICMS, ONE to supervisor, ONE to the author yourself);

    B. Soft copy (pdf) of your final version thesis which is recorded in any forms of CD or DVD storage media. Folder and files should be named in your names and student ID number.

    C. E-Thesis / E-Dissertation Submission Form (http://library.umac.mo/html/forms/forms.html);

    D.  Thesis Declaration Statement

    (GRS/Form/032, http://www.umac.mo/grs/en/download.php);

    E. Confirmation of Master's Thesis Form

    (GRS/Form/033, http://www.umac.mo/grs/en/download.php).

     

    5. Submit the following documents to the Laboratory Staffs (N22-1041 Kio SKKuong@umac.mo or N22-1045 Jeff JeffPong@umac.mo)

    (Soft-copy in CD/DVD. All documents must be approved by your supervisor before submission, otherwise the graduation application will not be proceeded):

    A. Final version of the thesis(pdf 及 word);

    B. Powerpoint file of the Oral Defence (ppt) and any photos recorded during the oral defence (jpg);

    C. Laboratory raw data, processed data related to any research projects, and published journal articles (pdf) during in ICMS

    Notice:

    All the submitted thesis must follow the format stated in the ICMS thesis template. The template can be downloaded in http://www.umac.mo/sklqrcm/yw/download.html

    Students should strictly follow the procedures and submit all the materials to the related personnel stated above. If students fail to do so, the Institute will regret to refuse the oral defence/graduation application without any compromise.

    Please pay much attention to the procedures and deadlines to avoid delays of your graduation.

     

    Failure of completing the Oral Defence and Laboratory Check-Out procedures in January will result in deferment to July. Any enquiry please contact the Institute Office, 8822-4685 by phone.

    Oral Defence and Laboratory Check-Out Procedures for PhD Students

     

    The University has provided a guidelines for PhD Oral Defence application. Details can be obtained from your supervisor.

     

     

    Before Oral Defense:

     

    The following procedures should be submitted before 2 months of your oral defence date. (Deadline: 20th of every month)

     

    1. The following forms should be submitted to the ICMS General Office when PhD students are ready for the oral defence:
    a) Thesis Declaration Form (GRS/Form/032) - To be completed by the concerned student
    b) Confirmation of PhD Thesis Form (GRS/Form/028) - To be completed by the Supervisor and endorsed by the Chair of the Academic Unit's GSC/PC
    c) Nomination of External Examiners for PhD Examination Committee (GRS/Form/31) - to be completed by the Principal Supervisor and endorsed by the Chair of the Academic Unit's GSC/PC and submitted to the Graduate School when nominating the external examiners.
    d) Form for Submission of PhD Thesis (GRS/FORM/034) - To be completed by the concerned student

    2. Each member of the Advisory Committee must provide brief recommendation for the student to do his/her oral defence
    i) each recommendation should be around half page long with University letter hand and signature.
    ii) the recommendation should include:
    a) comments on the quality of the thesis
    b) whether the thesis is ready / up to the standard for oral defence

     

    3. The student has to submit a list of his/her publications and CV.

     

    4. The student's thesis must follow the format governed by the Guidelines Governing the Format of PhD Theses. (Both the hard copy and the soft copy).

     

    5. CV of all proposed external examination committee members.

     

    6. For external examination committee members:
    There should preferably be 2 external members in any single PhD oral defense examination committee. (1 external member is accepted) These external members should come from any 2 of none local University:

    When all the above documents are collected, we can prepare the proposal for PC, GRS and Senate approval.

     

     

    After Oral Defense:

     

    The following items should be submitted to the ICMS General Office between one month after the PhD oral defence:


    1.     Confirmation of PhD Thesis Revision (GRS/FORM/035) or (GRS/FORM/036) – to be follow the committee's decision.


    2.     PhD Thesis Revision Form (GRS/FORM/037)


    3.     Thesis Revision Summary Report – with signature both by supervisor and student.


    4.     Revised Thesis – both 2 soft copies (1 copy thesis only; 1 copy including thesis/ppt/publication ect...), 4 hard copies with hard cover. 

    Graduation proposal will be prepare when student provided all the above documents after oral defense.

     

    Laboratory Check-Out procedures must be completed before Oral Defence.
